Community Room Rental Policy

Community Room/Kitchenette Policy

Reservations to use the community room at the library will be on a first-come, first-served basis. Library sponsored programs and library affiliated organizations will be given priority for use of the community room. Their use of the community room and all local nonprofit organizations are allowed to use the community room free of charge. All non-library affiliated users must complete an application form prior to use of the community room, applications supplied and approved by the librarians.

Guidelines for Community Room/Kitchenette use:

1. For-profits and private parties will pay $40 to rent the community room plus an added $25 refundable deposit if no damage occurs.
2. Use of the community room includes the use of the kitchenette.
3. Application for reservations must be made during regular library hours at the circulation desk or by phone. Applicants must read the community room policy and sign the application accepting responsibility for damage or loss to library equipment or facilities. If the application is made over the phone, the application must be signed prior to the reserved meeting time or use of the room will be denied.
4. Reservations may be made no more than 12 months in advance. Advance notice of 24 hours is required if an event is cancelled. The first time a group does not appear or cancel; there will not be a penalty. The second time there is a no-show or non-cancellation; no further reservations will be accepted from that group.
5. Make arrangements to pick up a key to the community room door during regular library hours.
6. Rental fees and deposit must be paid to the librarians prior to use of the community room. If paying by check, payment will need to be with two checks. One check for the $40 rental fee and one check for the $25 deposit. The deposit check will be shredded the following work day if the librarians find that no damage occurred. If deposit is made by cash, renter will need to make arrangements with the librarians for return of their deposit.
7. Equipment available in the community room: drop-down screen, ceiling mounted projector, and DVD player. Operating instructions are in the coat closet in the room. Or ask a teenager for help.
8. The room is equipped with 6 rectangular tables which are 8feet long, 6 round tables which are 5feet in diameter and 48 chairs. Each rental is responsible for its own furniture arrangement. No tape, tacks, or pins shall be used on the walls.
9. The tables and chairs need to be wiped clean and returned to their original positions. Vacuum carpet, if needed. Failure to do so can result in loss of the deposit or the privilege for future use of the room.
10. The community room has a kitchenette consisting of a microwave, refrigerator, and sink. A coffee pot is available. Refreshments must be confined to the community room and kitchenette area. Smoking and serving alcoholic beverages is not permitted.
11. All garbage must be removed from the meeting room and deposited in the container outside the east door.
12. Restrooms are available in the hallway; please leave them in the condition in which they were found.
13. Library staff will not relay messages to people attending meetings except in an emergency.
14. Librarian on duty has the power to terminate any meeting disruptive to the library operations.
15. Enter and exit through the East facing door, not the front door of the library.
16. Equipment, supplies, or personal belongings of a group may not be stored or left in the library.
17. The library is not responsible for accidents, injury, loss, theft, or damage of individual property that may occur.
18. Permission to use the community room does not in any way constitute endorsement of the group’s policies or beliefs by the Library Board or City Council.
19. The Library Board and City Council retain final authority for implementing this policy.
